Counselling Payment Terms
- Payment can be made by cheque (for postal registrations); credit/debit card or BACS transfer. For payments by bank transfer, please use the following details:

- The registration fee must be paid in full before an assessment appointment can be booked.
Confirmation
- Upon receipt of a fully completed registration form and confirmation of payment in full you will be contacted to book your initial assessment appointment.
Cancellation Policy
- All cancellations must be made either in writing or by telephone within a minimum of 24 hours before the initial assessment appointment.
- Appointment cancellations will receive a full refund less a 25% admin fee.
- No refunds will be given for cancellations made on the day of assessment or a non-attendance of appointment.
- A rebook fee of £20 will be required for any appointment amendments (if appointment was missed or change notification is less than 24 hours).
- GCS reserves the right to change the assessment appointment, counsellor, timing, or venue with sufficient notice given to the client.
Training Payment Terms

- Invoices can be issued to organisations for payment, on request and on receipt of an official purchase order or confirmation that payment has been authorised. Invoices will not be issued without the appropriate paperwork
- All invoices issued must be paid within the timescale stated on the invoice
- For courses where payment by instalment is an option, the deposit must be received before course start date and instalments received on due dates specified on the Tuition Fee Agreement or booking form
Cancellations
- In extreme circumstances, it may be necessary for GCS to alter published programmes, trainers or venues without prior notice, but we will endeavour to inform you as soon as possible in any such instance. Cancellations will only take place under extenuating circumstances. In these rare instances, you will be offered a place on the same course on another date. If we cannot offer you an alternative option, we will provide a full refund of the course fees. GCS shall not accept liability for any consequential loss and shall have no liability to reimburse any other costs that may have been incurred, including transport costs, accommodation etc
Intellectual property rights
- All intellectual property rights, including copyright, patents, design rights and know-how in or relating to the course/workshop or materials provided, or made available in connection with the course, remain the sole property of GCS and no copies of materials may be made unless expressly agreed in writing by GCS
Complaints
- GCS operates a Complaints Policy. Complaints should be in writing addressed to the Chief Executive and will be dealt with in accordance with the Complaints Procedure, a copy of which is available on request
Confidentiality
Data Protection: GCS will hold your contact details for the purpose of booking course places and sending out relevant information. We do not store credit/debit card details. Nor do we share financial information with third parties. GCS does not make your personal details available to any external organisations

CPD Events
- Bookings can be done via the GCS website training page and will be confirmed on receipt of a completed booking form and payment
- Payment for all one-day CPD workshops and short courses must be made in full and before the event
- Confirmation of payment receipt and joining instructions will be sent to you by email, unless otherwise requested. If you have not received your joining instructions one week prior to the training course, please call us on 01453 766310 or email [email protected]. GCS will not be held responsible for non-receipt of joining instructions and refunds will not be issued under such circumstances
- All cancellations must be made in writing to the address below or by email
- Cancellations more than 30 days prior to the training will receive a full refund less a 25% admin fee
- No refunds will be given for cancellations made within 30 days of the workshop/course date
- You may transfer a place on a course to a substitute delegate free of charge. Please inform us of any changes at least a week in advance of the course date so that we can ensure that joining instructions are sent to the correct person and delegate lists are correct on the day the course starts. No more than one substitution is permitted. Failure to attend by a substitute is treated as late cancellation and no refund is given
Introduction to Counselling and Listening Skills (ITC)
- Applications will be confirmed on receipt of a completed application form and full payment of the course fees
- Confirmation of payment receipt and joining instructions will be sent to you by email, unless otherwise requested. If you have not received your joining instructions one week prior to the training course, please call us on 01453 766310 or email [email protected]. GCS will not be held responsible for non-receipt of joining instructions and refunds will not be issued under such circumstances
- All cancellations must be made in writing to the address below or by email
- Cancellations more than 30 days prior to the training will receive a full refund less a 25% admin fee
- No refunds will be given for cancellations made within 30 days of the course date
Certificate in Counselling Skills (CCS)
- Applications will be acknowledged on receipt of a completed application form
- A place on the course will be confirmed on completion of a successful interview, receipt of a completed Tuition Fee Agreement and either payment of course deposit or full payment
- Confirmation of payment receipt and joining instructions will be sent to you by email, unless otherwise requested. If you have not received your joining instructions one week prior to the training course, please call us on 01453 766310 or email [email protected]. GCS will not be held responsible for non-receipt of joining instructions and refunds will not be issued under such circumstances
- On accepting an offer of a place on the Certificate course, the trainee will be required to pay a registration fee, which is a non-returnable deposit deducted from the course fee. This is a financial contract with the Gloucestershire Counselling Service
- The balance is payable either in full at the start of the course or in termly payments by standing order (including a £35 surcharge)
- In the event of a trainee not taking up an accepted place, the registration fee and any other fees already paid are non-refundable
- If a trainee withdraws from the course part way through the year, the full fees for the year are payable
- If GCS asks a trainee to withdraw from the course the fees paid up to and including that term are non-refundable
- In the event of a trainee anticipating or experiencing difficulty in meeting financial obligations to GCS, he/she should contact the Skills Course Manager as soon as possible so that a mutually appropriate solution can be sought. An award cannot be made if there are any outstanding fees, unless an acceptable arrangement for the deferred payment has been made with GCS

Diploma in Psychodynamic Counselling
- Applications will be acknowledged on receipt of relevant paperwork and a selection fee
- On accepting an offer of a place on the programme the trainee will be required to pay a registration fee which is a non-returnable deposit deducted from the course fee
- The balance is payable either in full at the start of the course, or in three termly payments, payable at the beginning of each term for which a £35 surcharge will be added. Trainees are responsible for setting up a standing order if paying by bank transfer. Full details will be provided
- In the event of a trainee not taking up an accepted place, the registration fee and any other fees already paid are non-refundable
- If a trainee withdraws from the programme part way through the year, the full fees for the year are payable
- If GCS asks a trainee to withdraw from the course the fees paid up to and including that term are non-refundable
- In the event of a trainee anticipating or experiencing difficulty in meeting financial obligations to GCS, he/she should contact the Head of Training as soon as possible so that a mutually appropriate solution can be sought. An award cannot be made if there are any outstanding fees unless an acceptable arrangement for the deferred payment has been made with GCS
- GCS reserves the right to cancel a Diploma programme at any time if there are insufficient numbers of trainees to make the course viable
- GCS reserves the right to terminate or extend the training agreement with a trainee in the event of the trainee not meeting the requirements of the Diploma programme and/or those of GCS
- GCS reserves the right to refuse the offer of a place on the Diploma programme
- GCS operates an Appeals Policy. A trainee accepted onto the Diploma course wishing to appeal against a training decision during their training should put this in writing addressed to the Chief Executive and it will be dealt with in accordance with the Appeals Procedure, a copy of which is available on request

Associate Counsellor Programme
- Applications will be acknowledged on receipt of relevant paperwork
- On accepting an offer of a place on the programme the trainee will be required to pay a registration fee which is a non-returnable deposit deducted from the course fee
- The balance is payable either in full at the start of the course, or in three termly payments, payable at the beginning of each term for which a £35 surcharge will be added. Trainees are responsible for setting up a standing order if paying by bank transfer. Full details will be provided
- GCS reserves the right to cancel an Associate Programme at any time if there are insufficient numbers of trainees to make the course viable
- GCS reserves the right to terminate or extend the training agreement with a trainee in the event of the trainee not meeting the requirements of the Associate Programme and/or those of GCS
- GCS reserves the right to refuse the offer of a place on the Associate Programme
- Offers of a counselling placement are made subject to a satisfactory DBS check
